Payments and receipts

Record every e-transfer or cheque against the right invoice, issue a receipt, and print a client statement for any date range.

Sending the invoice is only half of getting paid. The other half is knowing when the money arrived, which invoice it belongs to, and giving the client proof. Payments and receipts close that loop inside FirmBoard, so the end of the client journey is as tidy as the start.

Record a payment in seconds

When an e-transfer, cheque, or deposit lands in your bank account, you record it against the client. Choose the client, the method, the bank account it reached, and the amount. FirmBoard stamps the date and issues a receipt number in sequence, so your records stay orderly without a separate register.

The payment is linked to the client and the invoice, which means the invoice status updates from pending to paid at the same time. A partner glancing at the invoice list can see the effect immediately.

Receipts clients can keep

Every payment produces a receipt with your business name, address, and logo, plus the terms you wrote for payments. Clients get a professional document instead of an informal email reply. If a client needs a receipt again months later for their own books, you can open the payment and view it in a couple of clicks.

  • View: open the receipt exactly as the client sees it.
  • Edit: correct a method, date, or note when you spot a mistake.
  • Delete: remove a payment recorded in error, with the invoice status reflecting the change.

Client statements for any period

Some clients want a single page that shows everything they were billed and everything they paid. Choose the client, set the start and end dates, and generate the statement. It is useful at year-end, when a client asks what they paid you in a given quarter, and when a bank or lender asks for proof of fees.

Several bank accounts, one clear record

Firms often keep operating money and trust money separately. FirmBoard lets you define each bank account once and choose it when recording a payment. That way a receipt always shows where the funds went, and you can answer a question about a deposit without scrolling through statements.

The habits it encourages

  1. Record payments the same day they arrive, while the details are fresh.
  2. Issue the receipt immediately so clients stop asking for it.
  3. Use statements instead of rebuilding history from emails.
  4. Review pending invoices weekly and follow up on anything overdue.

A calmer end to every job

The satisfying part of payments and receipts is how little extra work they create. You already know the client, the service, the quote, and the invoice. Recording the payment adds the final line to a story the system already tells. Nothing is retyped, nothing is mislaid, and the client sees a firm that is organised from the first quote to the last receipt.
