Workflow & tracking

Service tracker

See every piece of client work, who owns it, and where it stands, from info received to filed.

A practice is really a long list of small promises: a T1 for the Patels, monthly bookkeeping for a bakery, a corporate year-end that must be ready before the accountant leaves for a holiday. The service tracker is where those promises live. It lists every service card your firm has opened, shows the client and the person responsible, and tells you the current status in plain words.

One list for all open work

Open the tracker and you see each service card as a single row: the client, the business line, the service, and the status. Rows are grouped so that a partner can scan a morning of work in a minute. There is no hunting through folders and no guessing whether somebody already started. If a card exists, it is on the tracker.

Because the tracker reads from the same service cards that quotes and invoices use, it never drifts out of date. Nobody has to remember to update a second spreadsheet after finishing a return. Change the status once and everyone sees it.

Open a row to see the whole story

Each row expands into a detail panel. In it you will find the team assigned to the work, the start and end dates, and the service card number that ties the job to its fee. From the same panel you can update the status, add notes, and review who touched the card before you.

  • Team: see who is assigned now and who held the card earlier, which is useful when staff change mid-season.
  • Dates: keep the planned start and finish visible so slipping deadlines show up early.
  • Service card: the card number links the work to the quote, the invoice, and later the receipt.
  • Notes: record the odd detail, such as a missing slip or a client who prefers phone calls, right where the next person will look.

Statuses that match how accountants talk

Statuses are written the way a practice speaks: info received, in review, filed, completed. A status is not a hidden code. It is a sentence a junior bookkeeper can read to a client over the phone. When a client asks where their return is, whoever picks up can answer without walking to another desk.

The best status list is short enough that everyone uses it and clear enough that a client would understand it.

Built for busy season

From January to April the tracker becomes a daily dashboard. Sort by status to find everything waiting on client information, review what is sitting in review, and confirm what has been filed. Partners can check progress without interrupting the team, and staff stop receiving the same question from three different people.

Outside tax season the same view helps with recurring work. Monthly bookkeeping, quarterly HST and GST filings, and year-end packages can all be tracked in one place, so quiet months do not hide work that is slowly going stale.

What you get

  1. A single list of all open service cards across your clients.
  2. Row details with team, dates, card number, and notes.
  3. Status updates that everyone sees immediately.
  4. A history of who worked on a card and when.
  5. A link from the work to its quote, invoice, and receipt.

How it fits the client journey

The tracker sits in the middle of the FirmBoard client journey. A client is added, a service card is opened, the work is tracked, a quote becomes an invoice, and a payment receipt closes the loop. Each step points to the others, so the tracker is never a standalone checklist. It is the live view of the same record your billing already uses.

If you would like to see the tracker with sample client data, contact our team and we will walk you through it on a live board.
