Settings, terms, and bank accounts

Set your business details once, then let them print correctly on every quote, invoice, and receipt, with the terms you chose.

Good documents are consistent documents. Your logo, address, bank details, and payment wording should look the same on the quote you send in January and the receipt you issue in April. FirmBoard settings are where you decide those details once so the rest of the system can reuse them without anyone retyping.

General settings: who you are

Start with the business information. Enter your firm name, address, and logo. These appear on every quote, invoice, and receipt, and they are the first thing a new client sees. If your address or branding changes, update it in one place and every new document reflects the change.

Email delivery with SMTP

If you want FirmBoard to send documents from your own address, the SMTP tab holds the mail server details. Clients then receive messages that look like they came directly from your firm, which supports trust and keeps replies landing in your own inbox.

Bank accounts you can pick from

Add each bank account your firm uses, such as operating and trust, with the holder name and bank. When you record a payment, you choose the account it reached. Bank accounts are simple cards in the list, so adding another one for a new account takes seconds.

Terms for each type of document

The terms area stores separate wording for three kinds of document: invoices, payments, and quotations. That separation matters because each has a different job.

  • Invoice terms: how and when to pay, for example by e-transfer within fourteen days.
  • Payment terms: what a receipt confirms and when it is issued.
  • Quotation terms: how long a quote stays valid and what happens when it is accepted.

Select the document type, edit the text, and update. The new wording prints on every document of that type from then on.

Why this saves time

Without central settings, firms copy and paste terms into each document and slowly drift apart. One bookkeeper writes fourteen days, another writes thirty, and a client notices. Central terms remove the drift. They also make policy changes easy: if you decide to add a late-payment note, you write it once.

A short setup checklist

  1. Enter your business name, address, and logo.
  2. Add your operating bank account, and trust account if you have one.
  3. Write short, friendly terms for invoices, payments, and quotations.
  4. Connect your email server if you want to send from your own address.
  5. Create a test client and look at each document before using it live.

Set it up once, benefit every day

Settings are not the glamorous part of practice management, but they are what make every other part look professional. An afternoon of setup pays off with every document you send for the rest of the year. If you want a second pair of eyes on your first setup, reach out to our team.
